Getting Started

Initial Consultation

The first step is getting to know one another.  We start with a call to learn more about your business, your current bookkeeping setup, and where you might need support. You’ll also get a feel for how we work and how we can make your life easier.

Once we understand your needs, we’ll outline what services make the most sense and send over a custom proposal.

Onboarding & Setup

Once we’ve decided to move forward together, we’ll start getting your bookkeeping system in place. That means setting you up in QuickBooks Online and any other tools we’ll use to keep things running smoothly.

If your books need to be organized or cleaned up, I’ll review and reconcile your company’s records to ensure accuracy and consistency.

You won’t have to guess what comes next—we’ll walk you through each step and let you know exactly what we need and when. This setup phase usually takes about a week or two. After that, we’ll spend the next 4–6 weeks dialing in our workflow and building a solid rhythm that fits your business.

Normal Routine

Once your setup is complete, we move into a consistent monthly routine that keeps your books accurate and up to date. While some things are tailored to your workflow, here’s what you can generally expect:

Gathering Items

We know tracking down receipts and invoices can be a hassle. That’s why we’ll work with you to find a system that fits your workflow—whether that’s using a mobile app to snap photos, emailing documents, or dropping files into a shared cloud folder.

Our goal is to make it as easy and seamless as possible for you and your team to keep things moving without adding extra work.

If you are missing a receipt or statement, we will communicate with you to let you know!

What We Do With It All

Once your documents are in, we take care of the rest. Our monthly process includes:

  • Reviewing and categorizing each transaction
  • Following up on anything that needs clarification
  • Organizing documents in a secure, IRS-compliant archive
  • Syncing everything into QuickBooks Online
  • Matching receipts and transactions to bank records
  • Reconciling accounts each month
  • Preparing financial statements and reviewing them with you
  • Sending a short summary with helpful notes, red flags, or spending trends

We’re not just plugging in numbers—we’re always looking at the bigger picture. As we get to know your business, we’ll offer suggestions to clean up your chart of accounts, simplify reporting, and make your books easier to understand. We’ll also offer insights and help you stay financially confident and organized year-round.
